<p>We are currently seeking a professional and experienced <strong>Business Administrative </strong>(& Site Time Focal) to support a senior leadership team within a dynamic, high-accountability environment on a contract with view to extend. This is a great opportunity to bring your administrative expertise and technical skills to a complex, fast-paced industrial setting where attention to detail, great communication, records management and confidentiality are key.</p><p>The successful candidate will <strong>provide executive-level administrative support,</strong> <strong>manage timekeeping and payroll processes</strong> for operations staff, and act as a key communication hub across various energy departments of a <strong>global energy organization, onsite,</strong> in the North East area of Edmonton Alberta - reaching those likely residing in the<strong> Fort Saskatchewan, Sherwood Park, and Scotford areas.</strong></p><p><br></p><p><strong>Key Responsibilities</strong></p><ul><li><strong>Executive & Administrative Support</strong></li><li>Manage calendars, meetings, and travel arrangements for senior managers.</li><li>Handle confidential correspondence and prepare reports, presentations, and documents.</li><li>Process complex expense claims in a timely and accurate manner.</li><li>Coordinate office supplies, meetings, and ad-hoc administrative tasks as needed.</li><li><strong>Payroll & Timekeeping (Site Time Focal)</strong></li><li><strong>Serve as the subject matter expert for Workday and SchedulePro systems.</strong></li><li>Enter and validate timekeeping records, including shift changes, absences, and overtime.</li><li>Ensure compliance with internal payroll policies and Collective Bargaining Agreements.</li><li>Audit time entries and resolve discrepancies prior to payroll submission.</li><li>Coach front-line supervisors and production staff on timekeeping and pay practices.</li><li><strong>Records Management & Reporting</strong></li><li><strong>Act as SharePoint Functional Site Owner and Records Management Focal for the asset team.</strong></li><li>Maintain secure documentation and support data privacy protocols.</li><li><strong>Generate and distribute regular reports (e.g., overtime, absence, and quota reconciliation).</strong></li></ul><p><br></p><p><strong>To be successful: </strong></p><ul><li><strong>3-5 years min. of consistent proven experience in an administrative, business support, (and senior support) or timekeeping/payroll role (Energy/Oil & Gas Industry).</strong></li><li><strong>Education in Office or Business Administration.</strong></li><li><strong>Proficiency in Microsoft Office, Workday, SharePoint, and/or SchedulePro is essential.</strong></li><li>Proven ability to manage sensitive information with integrity and discretion.</li><li>Strong communication and problem-solving skills across all levels of the organization.</li><li><strong>Skilled in working with executive and senior leadership.</strong></li><li>Ability to prioritize competing deadlines and manage multiple responsibilities efficiently.</li><li><strong>Work onsite in the Fort Saskatchewan/Scotford, Alberta area Monday to Friday 40 hrs per week in a contract role.</strong></li><li>Valid driver's license.</li><li>Must be legally authorized to work in Canada.</li></ul>Browse Jobs in Canada by City
