Position Overview

We are seeking a highly organized and detail-driven Real Estate Law Clerk to join our growing team. The ideal candidate has exceptional accuracy, thrives in a fast-paced environment, and is passionate about refining processes, leveraging technology, and contributing ideas that improve the client and team experience.

Key Responsibilities

Real Estate Transaction Support

· Prepare, review, and process all documentation for residential and/or commercial real estate transactions (purchase, sale, refinance, title transfers).

· Conduct and analyze title searches, off-title searches, and execution searches.

· Review and prepare statements of adjustments, trust ledgers, requisition letters, and closing documents.

· Coordinate closings with lenders, realtors, clients, and opposing counsel.

Client, File, & Stakeholder Management

· Communicate professionally and promptly with clients, brokers, lenders, and internal team members.

· Gather required documents and ensure files are complete, accurate, and compliant with law society requirements.

· Monitor file progress and deadlines, ensuring nothing is missed at any stage of the transaction.

Innovation, Technology & Process Improvement

· Identify opportunities to automate, streamline, or improve real estate workflow processes.

· Provide ongoing feedback to leadership and the development team on how Philer AI's digital tools can be enhanced.

· Participate in testing and adopting new software, platforms, and AI tools that support our mission.

· Share knowledge, best practices, and solutions with colleagues to support continual team growth.

Compliance & Quality Control

· Maintain the highest standards of accuracy in all documentation and data entry.

· Ensure all legal processes adhere to provincial legislation, lender requirements, and professional obligations.

· Protect client confidentiality and handle sensitive information with utmost care.

Qualifications

· Law Clerk Diploma, Paralegal License, or equivalent legal training/experience.

· Minimum 5 years of experience as a Real Estate Law Clerk (residential or commercial).

· Strong understanding of title searching, conveyancing, and real estate closing procedures.

· Exceptional attention to detail and accuracy.

· High proficiency with real estate legal software (Teraview, Unity, Conveyancer, Emergent, etc.).

· Comfortable learning and working with AI-driven legal tools and automation platforms.

· Strong communication, organizational, and problem-solving skills.

· Ability to manage multiple files with efficiency and poise.

· A proactive mindset, continuously looking for what can be improved, fixed, automated, or streamlined.
